Refund & cancellation policy

Eligibility

Refunds apply to fees paid directly to Flowmatrixcore Co., Ltd. under a written proposal or invoice for dashboard commissions, reporting audits, briefing workshops, or stewardship. Website form submissions alone do not create a charge.

Deposits

A deposit (typically 40%) reserves the start window. Deposits become non-refundable once discovery workshops or document review have begun, except where we cancel the engagement.

Full refund

If we cancel an engagement before work starts, you receive a full refund of amounts paid. If you cancel in writing at least 10 business days before the agreed start date and no work has begun, deposits are refundable minus a THB 3,000 administration fee.

Partial refund

If you cancel after work has started, fees cover completed phases (for example discovery completed, prototype delivered). Unused later phases may be refunded proportionally as stated in the proposal.

Non-refundable items

Completed workshop facilitation days, delivered audit reports, accepted prototypes, and third-party costs already incurred at your request are non-refundable.

Rescheduling and no-shows

Workshops may be rescheduled once without charge if notice is given at least five business days ahead. Later changes or participant no-shows for a reserved facilitation day may incur a THB 5,000 rebooking fee.

Work already started

Time spent on stakeholder interviews, definition workshops, design, and validation is billable. Refunds do not unwind completed deliverables already accepted in writing.

Process and timing

Email hello@flowmatrixcore.click with your invoice number and reason. We confirm eligibility within five business days. Approved refunds are returned via the original payment method within 14 business days where the provider allows.

Stewardship retainers

Quarterly stewardship fees cover the active quarter once the intake call is held. Unused future quarters on a prepaid multi-quarter arrangement may be refunded if cancelled before that quarter’s intake.
